When you interact with a LeadSpokes Voice AI demonstration, chatbot, or telephone service, we may collect the information you provide during the interaction. This may include call information, messages, recordings, transcripts, appointment requests, and AI-generated summaries. Calls may be recorded, monitored, or transcribed for demonstration, training, quality assurance, customer service, security, or recordkeeping purposes. Where legally required, we will provide notice or obtain consent before recording or transcribing a call.

Please do not submit Social Security numbers, passwords, complete payment-card numbers, medical records, protected health information, or other highly sensitive information through our general website forms, demonstrations, chatbots, email, or telephone numbers.

2. Information Collected Automatically

These technologies may be used to answer questions, conduct telephone or chat conversations, transcribe calls, create summaries, generate responses, identify the subject of a request, route an inquiry, schedule a meeting, or trigger a requested follow-up.

To provide these functions, information you submit may be processed by third-party AI, telephone, transcription, hosting, communication, or automation providers. We do not authorize these providers to use your information for their own unrelated advertising or marketing.

AI-generated information may occasionally be incomplete or inaccurate. Important information should be independently confirmed before it is relied upon. Our general website and demonstrations are not intended to provide medical, legal, financial, or emergency advice or to make final decisions concerning employment, credit, housing, insurance, healthcare eligibility, or other significant legal rights.

6. When and With Whom We Share Information

LeadSpokes may share personal information with trusted service providers that help us operate our website and business. These providers may include website hosts, cloud storage providers, customer relationship management platforms, scheduling services, telephone providers, SMS and email delivery platforms, AI providers, payment processors, analytics providers, advertising platforms, security providers, accountants, attorneys, and customer-support providers. We do not provide advertising platforms with SMS opt-in information for their own marketing. You may control cookies through your browser settings and through our cookie preference tool, where available. Blocking certain cookies may prevent portions of the website from working properly. 9. SMS and MMS Communications

When you voluntarily provide your mobile number and opt in, you consent to receive text messages from LeadSpokes at the number provided.

Messages may include responses to your inquiry, requested demonstration information, appointment or meeting reminders, scheduling updates, account notices, customer-support communications, requested links, service announcements, and marketing or promotional messages described when you opt in. Message frequency varies. Message and data rates may apply. Consent to receive marketing text messages is not a condition of purchasing products or services. We use mobile information to deliver messages, respond to requests, provide reminders, maintain consent records, document communication preferences, and comply with applicable laws and carrier requirements. No mobile information will be shared with third parties or affiliates for their own marketing or promotional purposes.

Mobile information may be provided to subcontractors and service providers that support our messaging services, including telephone carriers, messaging aggregators, communication platforms, CRM providers, customer-support providers, and compliance providers. Text-message originator opt-in data and consent will not be shared with third parties for their own marketing. You may opt out of text messages at any time by replying STOP, UNSUBSCRIBE, CANCEL, END, or QUIT. After receiving your request, we may send one final confirmation message and will then stop the messages covered by your request. You may reply START to opt back in to a supported messaging program. Reply HELP for assistance. You may also request to stop text messages by contacting us at the email address listed below.

10. Email Communications

We may use your email address to respond to inquiries, send requested information, provide proposals, confirm meetings, deliver account notices, provide customer support, send newsletters, and communicate about LeadSpokes products and services. Our commercial emails will use accurate sender information, avoid misleading subject lines, include our business mailing address, and provide a method for unsubscribing. You may unsubscribe from marketing emails by using the unsubscribe link included in the message or by contacting us.

Unsubscribing from marketing email does not prevent us from sending nonmarketing communications concerning an active account, transaction, purchased service, security issue, legal notice, or request you initiated.

11. Payment Information

Payments may be processed through Stripe or another authorized payment provider. LeadSpokes does not ordinarily store complete payment-card information on its own servers. Payment processors may collect your card information, bank information, billing address, transaction details, and fraud-prevention information under their own privacy policies. LeadSpokes may receive limited information such as your name, billing contact information, payment amount, payment status, card type, and the last four digits of your payment card.

12. Information We Process for Clients

LeadSpokes provides AI, communication, review-management, and automation services to business clients.

When we process information solely on behalf of a client, the client generally decides what information is collected, why it is used, what communications are sent, and how long the information is retained. In those circumstances, LeadSpokes acts as a service provider or processor for the client. The client’s privacy policy governs its collection and use of information. Privacy requests relating to information collected by a LeadSpokes client should generally be submitted directly to that client. Our agreements require clients to use our services and provide information in accordance with applicable privacy and communication laws. Clients remain responsible for providing their own privacy notices and obtaining any consent required for their communications. Clients should not provide protected health information or other specially regulated information unless LeadSpokes has expressly agreed in writing to process that information using an appropriate service configuration and agreement.

13. How Long We Keep Information

We retain personal information only for as long as reasonably necessary to provide services, maintain customer relationships, respond to inquiries, process transactions, maintain consent and opt-out records, protect our systems, resolve disputes, comply with legal or accounting obligations, and enforce our agreements. Retention periods depend on the type of information, the reason it was collected, the length of the customer relationship, contractual obligations, legal requirements, and security needs.

When information is no longer reasonably needed, we may delete, deidentify, aggregate, or securely isolate it. Information may remain in backups for a limited period until those backups are overwritten or deleted through normal procedures.

LeadSpokes uses reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.
